PCADV does not allow attachments of any kind to be posted to mailing lists hosted on its servers. Several best practices have influenced this decision in an effort to provide reliable, stable, and fast delivery of message posts. Having the capability to send large attachments to large numbers of recipients does not obligate PCADV to use that capability, especially when there are so many good reasons not to do so.
First and foremost is recipient preference: List participants may not necessarily want to receive an actual attachment. PCADV provides a web server for access to documents online via a link in message post. Many list members actually prefer a link they can easily browse to at their convenience. If the recipient decides they need a copy of the document, the link gives them that option.
Attachments can prove problematic for recipients for a variety of reasons:
• The post may be rejected (NDN) by email systems which utilize strict security configurations.
• The delivery acceptance may be denied based on file size or type.
• They may encounter problems related to mail filtering and virus scanning in the receiving email system's configuration.
• The delivery, if accepted, may be delayed due to the above.
• Attached files contribute significantly to recipient's email storage potentially exceeding their quota which can disable their ability to use email.
PCADV has encountered problems from including attachments, such as triggering blocklisting or anti-spam monitoring services effectively disabling the ability to provide mailing list services. Other logistical challenges are presented by sending large attachments to large numbers of recipients concerning resource conservation and efficiency. Posting attachments uses significanlty more bandwidth at both ends (sender and recipient) than sending links. Not only is the risk of possible delivery problems and recipient displeasure caused by sending attachments eliminated, the link being sent can provide quantifiable result data such as the number of participants who accessed the document.
